How to configure payment methods for orders in Photonesto

Set up convenient payment methods in Photonesto. Cash, PayPal, fast online transfers. Streamline receiving payments for client orders.

How to get started with payment settings?

Log in to your Photonesto account. Go to the menu in the top-right corner of the screen, then navigate to "Sales Configuration", followed by "Payment methods", and select the ones you want to make available to your clients.

You can choose from:

  • Cash payment

  • Bank transfer

  • PayPal

There's also two additional methods, which works only to Polish users:
BLIK and Przelewy24 (fast online payments).

If you select more than one payment method, clients will be able to choose the one that is most convenient for them.

In this article, you will learn about:

1. Cash payment

Do you settle with clients using cash? Simply select the "Cash payment" option, and it will be available for your clients to choose when placing an order.

2. Bank transfer

Click the slider to enable the traditional bank transfer method. Then, fill in all the details that clients will need for the transfer (account number, account holder's name and surname, address), click "Save", and you're all set.

Once the client places an order and clicks the "Pay now" button, they will receive the bank transfer details:

3. PayPal payment

PayPal is a great option for fast online payments, no matter where you and your client are located.

To use the PayPal payment gateway in Photonesto, you will need API keys, which you must retrieve from your PayPal account.

In order to download this data, you first need a PayPal account. To do this, go to the website https://www.paypal.com/ and create an account there.

Click the large "Sign Up" button on the screen, and then select the "Business" option. This is very important - otherwise, you won't be able to connect PayPal with Photonesto.

Next, proceed through the following steps according to the on-screen instructions, entering the necessary details such as your email address and other information required to accept payments.

Once your account is successfully created, you will be redirected to your profile's main page. From the top menu bar, you need to select "Tools" and then "All Tools":

Now, on the left side, select "Integrate PayPal":

Next, go to "API credentials" by clicking the "Open" button.

You will be redirected to the API credentials subpage. Scroll down and select the "REST API integration" option - click the blue text that says "Manage REST API apps and credentials":

After being redirected, you'll see that there are no applications. You need to add one. This should be done using the "PayPal developer environment".

Don't be intimidated by the name - you don't have to be a developer or know anything about this kind of stuff. Just stick to the instructions in this guide, and everything will be fine :)

After opening a new browser tab, the first thing you need to do is slide the toggle in the top-right corner to "Live" and then go to the "Apps & Credentials" tab.

Next, click the "Create App" button:

A window will appear where you will need to enter an app name (in the "App name" field). Enter "Photonesto" and click the "Create App" button.

Finally, you have generated the API keys. Now, you should copy them and paste them into the corresponding fields in Photonesto:

Client ID -> Client ID

Secret key 1 -> Client secret

Before saving, it's a good idea to click the "Test connection" button to make sure both applications have successfully connected:

After the message "Success! Your connection to PayPal account is correct" appears, you can confirm the changes by clicking the "Save" button.

Hooray! You have just successfully configured PayPal in Photonesto! :)

PayPal has a very short session timeout for security reasons. If, after returning to the PayPal site, you are prompted to log in, don't worry - just enter your username and password, and you'll be taken back to the last page you visited.

4. Payment confirmation

If your client pays for an order using one of the methods mentioned above (cash or traditional bank transfer), the next step is to confirm the payment. Once you receive the payment from the client, log in to Photonesto, go to "Orders" in your Photonesto dashboard, and confirm the payment for the pending order.

With the methods mentioned above, you must manually mark the payment as received, because Photonesto does not have insight into them.

You can also do this in the order details. Click the "Confirm payment received" button, then enter the amount the client paid and confirm. The payment information will be immediately added to the order history.

Want to make sure the operation was completed successfully? Click "History" (in the left-side menu in gallery) and then select "Payment history" where you will find a list of all transactions.

When a client pays for an order using fast online transfers - PayPal - the status will change automatically after the payment is made.

Payment titles

Worth knowing: Want to easily manage the bank transfers that come into your account? You can do this with personalized payment titles that you provide to your clients in the order summary. You can customize them however you like and even add a unique order number.

You can do this by going to "Sales Configuration" and then the "Payment methods" tab. Scroll to the bottom of the page to "Advanced Settings." If you want the payment title to include the order number generated by Photonesto, simply add the value <ORDER_NUMBER>.
